Capturing receipts and data

In Berta you capture your vehicle data three ways: by photo, by file import, or – for fuel entries – by voice. That works the same whether it's a car, motorcycle or camper. Berta reads out the contents, highlights uncertain fields, and only saves after you confirm. If you're offline, captures wait safely in a queue and are re-sent automatically.

How do I photograph a document?

Photograph your registration, a workshop invoice or a fuel receipt right in the app. Berta downscales each photo to 1600 px width (JPEG) before upload – this saves data volume. It then extracts the relevant fields, provided you've given AI consent.

Does Berta read a next-service hint off a workshop invoice?

Workshop invoices sometimes print an explicit next-due hint – "next oil change at 145,000 km", "next HU 06/2027" – for a future service or inspection. When Berta finds one, it reads out the date, mileage or service type and offers it as an editable, pre-filled maintenance suggestion, the same way a photographed dashboard service indicator already works. You review and confirm it before it becomes a reminder – nothing is created silently, and nothing is invented when the invoice doesn't print such a hint.

Which files can I import?

File import accepts PDF, JPEG, PNG, HEIC/HEIF and WebP. The rule: one file per import. Multi-page PDFs are merged into a single scan.

Per capture, the combined upload budget is around 13.5 MB of binary data across all pages. If an import is larger, Berta rejects it before upload with a friendly message – so you don't waste any data volume.

What happens to the recognized fields?

With AI consent, Berta reads the data out of your captures. Fields with a confidence below 80% are highlighted for review so you can check them. You always confirm before anything is stored – nothing lands in your vehicle record unchecked.

Without AI consent, capture still works; you just type the fields yourself. You can change consent any time in settings.

What entry types are there?

Berta distinguishes several kinds of entries:

• Service – workshop visits and maintenance.
• Fuel – fuel amounts and prices.
• Odometer – plain mileage readings.
• Note – free-form remarks.
• Cost event – with a category, billing period and optional recurrence.

Before/after photo pairs

For repair or refurbishment work you can capture a before photo and an after photo as a matched pair. The pair appears in the vehicle record with a comparison slider, letting you swipe between the state before and after the work was done. Before/after pairs are also included in the handover record, so a future buyer can see exactly what was repaired or restored.

Self-performed: DIY entries

Work you do yourself belongs in the vehicle record just as much as workshop visits. There are two routes:

• Quick log: in the DIY log you pick the job (an oil change or brake pads, say), enter the date, optionally the parts cost, odometer and a note, and save. Berta turns that into a service entry marked as self-performed. It works offline too.
• Scan a parts receipt: photograph a parts invoice and Berta treats it as a DIY receipt. The scan reads out date, retailer, gross total including VAT and each individual part purchased, and adds them as line items on the entry – shipping and deposits are left out. You review and adjust the items before saving.

In the timeline, the DIY filter shows only your self-performed work, along with the count and the total parts cost recorded. In reminders, the last party who did the work reads "self-performed" instead of a workshop. And in the resale PDF your self-performed work appears in the service history, clearly labelled as such – so a buyer can follow the jobs you did yourself as well.

Can I enter fuel data by voice?

Yes, in the app and on the web. With voice fuel entry you speak the liters and the price or total. Berta needs at least the liters plus either the price per liter or the total.

What happens when I'm offline?

Captures you make offline queue on your device and are re-sent automatically once you're back online – every 30 seconds, up to 5 attempts. Idempotency keys make sure no duplicates are created. So you can capture on the go without worry and never have to backfill entries by hand.
